Enquiry-to-Opportunity Workflow

An education services organization needed a better way to manage enquiries coming from different places—online forms, emails, phone calls, meetings and referrals.

CIVRA developed a proposed workflow around Google Workspace, covering enquiry records, supporting documents, staff review, quotations and follow-up.

People remain in control of the decisions. The proposal identifies where staff review information, request clarification and decide the next step.

Project status: proof of concept. Requirements and stakeholder review remain part of the discovery process. This is not presented as a completed deployment or a measured business result.

What happens if information is missing?

While developing the workflow, CEA may encounter a missing fact or a decision that has not been made. It sends that specific question back through CBIT, so the answer can be checked against the business information. CIVRA asks your team for clarification where needed, and supported answers are used to refine the proposal.

A fact needs supporting evidence; a decision needs confirmation from the responsible person. If that is not available, the point remains unknown and visible for review.
